CheckWhat is a warehouse management system?
A warehouse management system (WMS) runs the physical work in a warehouse: receiving goods, storing them in known locations, picking and packing orders, and handing parcels to couriers. It tells your team what to do next and records every step, so stock no longer depends on memory or paper.
O2M Warehouse Management runs on the same products, orders and inventory as the rest of O2M. Each part is enabled on its own, so a small shop can buy and receive stock with purchase orders and ship from the Orders page, then add bins, picklists and a pack station later.
Your team works from the Today page on a computer, or the scanner app on a phone or handheld scanner. Stock leaves at handover, when the courier has actually collected the parcel, and O2M then tells each channel the order has shipped.
What Warehouse Management does for you.
The day at a glance
The Today page shows what to receive, pick, pack and dispatch.
Every unit in its place
Zones and bins tell your team exactly where stock is.
Fewer picking mistakes
Scan to pick and check every unit at the pack station.
Work from any device
Use the scanner app on a phone or handheld, online or offline.
Receive goods and keep bad stock off sale.
Receive against a purchase order or without one, check quality, and hold stock from sale until you are ready.
Goods receipts
What arrived from suppliers, and what is left to check and put away.

Goods receipts
Receive on screen or by scanning. Add lots, serials, the supplier's invoice number and photos.
Receiving rules
A line can receive up to 10% more than ordered by default. More is refused, and so is an item that is not on the order.
Quality check
Goods sent for a check wait until your team enters the units passed and failed. Failed units become damaged, and their photos carry onto any return to the supplier.
Hold from sale
Receive stock without offering it to channels yet. Release it when you are ready, and open backorders fill.
Give every unit a known place.
Lay out each warehouse in zones and bins, print labels, and set a fixed bin for items that always live in one place.
Locations and bins
The zones and bins of a warehouse, and what each bin holds.

Bin patterns
Create bins from a pattern such as A-01..20-1..5, which makes 100 bins, or paste a list of codes.
Bin purposes
Mark bins for receiving, storage, pick face, packing, staging, returns, QC or damaged. A pick sequence sets the walking order on picklists.
Putaway
Received units become putaway tasks, each with a suggested bin. Moving units between bins never changes your totals or your channels.
Bin labels
Download barcode labels as a PDF in 100 × 50 mm, 75 × 50 mm or A4 sheets, or print them on a Zebra-compatible printer with the add-on.
Pick the right units, every time.
Create picklists, pick from bins by scanning, and check every unit at the pack station before the parcel leaves.
Picklists
Orders to take off the shelves, bin by bin in walking order.

Single, batch and wave picking
Use one order per list for urgent work, several orders on one walk for everyday volume, or waves by channel or courier cut-off.
Automatic picklists
Each warehouse can make lists as orders come in, or in waves on a timer. A picker simply takes the next list.
Units not found
If units are not in the bin, mark the line not found. A later count finds them or writes them off.
Pack station
Check every unit, print the label and packing slip, and issue the GST tax invoice for your own store and wholesale orders.
Hand over parcels and tell every channel.
See what must leave first, hand parcels to couriers on manifests, and act on failed deliveries before the parcel comes back.
Dispatch board
Orders still in the warehouse, by the time they have to leave.

Dispatch board
Every order still in the warehouse, most urgent first, with its dispatch-by time and the step it is waiting at.
Manifests
Packed parcels are listed by courier. Start a manifest with one click and hand over. Manifests are always started and handed over by a person.
Ship confirmation
O2M tells Shopify, Amazon and Flipkart the order shipped, with courier and AWB. If a channel refuses, the parcel shows why, with Try again.
Failed deliveries
Ask for another attempt, or return the parcel, before the courier sends it back at your cost.
Work from a phone or handheld scanner.

A screen for each job
Receive, put away, move, look up, pick, pack, dispatch and count.
Phone or handheld
Handheld scanners that type like a keyboard work in every scan field. Phone cameras read barcodes on Android and iPhone.
Work without internet
With the offline add-on, Receive, Put away, Pick and Count keep working. Work is sent in order when the connection returns.
Scan feedback
The phone vibrates on a good scan, and differently on a refused one, so your team keeps their eyes on the shelf.

Client warehouses
Each item has one owner, and a client's people see only a read-only portal with their stock, orders and movements.
Client billing
Billing counts storage, units received, parcels and units dispatched, and orders per client, multiplied by that client's rates.
Transfers
Move stock between warehouses with the delivery challan or tax invoice, e-way bill number, vehicle and transporter details.
Cartons and pallets
With the B2B cartons add-on, ship business orders in cartons and pallets with SSCC labels.
Simple from the first day.
Step 1
Receive
Receive goods against purchase orders and check their quality.
Step 2
Put away
Move received units into the right bins.
Step 3
Pick and pack
Pick from bins, then check each unit at the pack station.
Step 4
Dispatch
Hand parcels over on a manifest, and every channel is told.
Each part is enabled on its own.
When a step is not enabled, O2M uses the simpler way of doing that job.
| Step | When it is enabled | When it is not |
|---|---|---|
| Purchasing | Suppliers, purchase orders, goods receipts and returns to vendor | Stock comes in through adjustments or opening stock |
| Quality check | Received goods wait for a check before they are sold | Received goods are available at once |
| Locations and bins | Zones, bins, putaway and bin counts | Stock sits in the warehouse with no bin |
| Picking, packing and manifests | Picklists, the pack station and manifests | Ship from the order, with the courier and AWB |
| Returns inward | Returns are received and graded in Return QC | Returns wait in Returned items for your decision |
The right access for each person.
Limit people to the warehouses they work in, or build your own roles.
| Role | Can do | Cannot do |
|---|---|---|
| Warehouse staff | Receive, put away, pick, pack, count and check returns | Adjustments, purchase orders, costs |
| Warehouse supervisor | Staff work, plus adjustments and approvals, transfers, purchase orders, warehouses and bins | Costs |
| Inventory manager | Adjustments, approvals, transfers, counts, planning and purchase orders | Picking and packing |
| Accountant | Read stock, orders and returns, see costs, stock value and the accounting export | Change stock |
| Operations | Orders, returns and all stock and warehouse work | Approvals, channel rules, costs |

ExploreHow to choose a warehouse management system
What to check before you move your warehouse onto new software.
Start small, add steps later
You should not need bins and pick faces on day one. Look for a system where each step can be added when you are ready.
Scanning that works on phones
Handheld scanners are costly. A WMS that also works with phone cameras lets every picker scan from the start.
Stock that leaves at handover
Stock should leave when the courier collects the parcel, not when someone clicks shipped.
Channel confirmations
Shipping details must reach each marketplace, or orders count as late. Check how refused confirmations are shown.
Labels and printers
Check for PDF labels on any printer, and thermal labels for busy pack stations.
Support for 3PL work
If you store goods for others, look for client separation, a client portal and billing by client.
Warehouse Management: your questions answered.
Can the team work from phones?
Yes. The scanner app runs on phones and handheld scanners. The offline add-on keeps Receive, Put away, Pick and Count working without a connection.
Do I need bins to use it?
No. A warehouse does not need bins for O2M to dispatch from it. Add zones and bins when you are ready.
Can I run more than one warehouse?
Yes. Add warehouses up to the number on your plan, and link each one to the channel locations it supplies.
How does O2M choose which warehouse ships an order?
If the channel chose a location, the linked warehouse ships it. Otherwise O2M picks the nearest linked warehouse to the customer's PIN code that has the stock.
Do you support 3PL operators?
Yes. Run a warehouse for other brands, with their goods, orders and people kept apart, and bill each client.
Can I limit people to some warehouses?
Yes. A person limited to some warehouses sees and works only in those.
Do you book couriers?
With the Shiprocket add-on, compare rates and book at the pack station using your own Shiprocket account. Manifests work with any courier.
What happens if a picker cannot find a unit?
They mark the line not found. A later count finds the missing units or writes them off.
What does WMS stand for?
WMS stands for warehouse management system.
Is there a warehouse management app?
Yes. The scanner app runs on phones and handheld scanners, and can be added to the home screen.
Is it suitable for a small warehouse?
Yes. Each part is enabled on its own, so you can begin with receiving and shipping, and add bins and picklists later.
Run your warehouse floor with less paperwork.
