Cycle counts
Check your records against the shelves regularly, without closing the warehouse.
Please reach out to your account manager to enable Cycle counts for your company.
Overview
A cycle count checks part of your stock against the shelves regularly, without closing the warehouse. Counts are blind by default, and differences are approved before they change stock.
Why use it
- Keep records accurate without a full stock-take.
- Find and fix shrinkage and misplaced stock.
- Measure inventory record accuracy over time.
Before you begin
- Counts are enabled for your company.
Why count little and often
A yearly stock-take closes the warehouse and is out of date the day after. Cycle counts check a few bins or items every day instead, so your records stay right all year and nothing stops shipping. The Counts page doubles as an accuracy dashboard: how accurate your records are by warehouse, zone and SKU, what the differences were worth, and which items are wrong most often. The Count accuracy report puts the same numbers in a table you can download or have e-mailed.
Good to know Counts is switched on per company. If you don't see it under Stock → Inventory, ask your O2M account manager.
Taking a count
Open Stock → Inventory → Counts. In a warehouse with bins you count bin by bin; without bins, item by item.
- 1Click New count and choose the warehouse and what to count: a zone, some bins, some SKUs, or the whole warehouse.
- 2Counts are blind by default: counters do not see what the records say.
- 3Counters enter or scan what they find, on screen or in the scanner app. An item the count did not list can be added.
- 4Submit the count. Uncounted lines can be treated as zero.
- 5Lines that differ by more than your recount threshold are sent back to be counted again.
- 6If differences remain, the count goes to review. An approver approves (the differences are posted) or rejects it.
How differences are posted
Found units are added to Available. Missing units are taken from Quarantine first, then Available, Damaged and QC hold. Units held for orders or reservations are never taken. Stock that moved during the count is not reported as a difference.
Count plans
A plan opens counts every day, choosing the bins or items counted longest ago, so the whole scope is covered once every N days. A plan can be limited to a zone or to one ABC class, for example to count fast-moving A items more often.
Record accuracy
The Counts page shows inventory record accuracy by warehouse, zone and SKU, the value of differences (with the cost permission) and the items most often wrong.
