Returns to vendor

Send damaged or unwanted goods back to a supplier and track the credit note.

Overview

A return to vendor (RTV) sends damaged or unwanted goods back to a supplier, with your debit note, and is closed when the supplier's credit note arrives.

Why use it

  • Get money back for faulty goods.
  • Keep photos and paperwork with every return.
  • Track credit notes still owed.

Open Inbound → Returns to vendor, or click Return to vendor on any received goods receipt.

  1. 1From a goods receipt, the receipt's lines are filled in. Enter the units to return per line and whether they are damaged or sellable. You cannot return more than was received minus what was already returned.
  2. 2Without a receipt, choose the supplier and add items by SKU, or pick a goods receipt to start from.
  3. 3Add your debit note number and date, the courier, AWB and vehicle number.
  4. 4Add photos per line and for the whole return. Photos are always taken fresh; photos of failed units from the quality check are carried over.

Good to know  A return made from a goods receipt always goes back to that receipt's supplier and warehouse.

  • Send back removes the units from stock and keeps the return note PDF.
  • Details and photos can still be edited after sending.
  • Close the return when the supplier's credit note arrives, with its number, date and amount.
  • Choose whether the supplier will replace the units (they are expected again on the purchase order) or not.

Tip  Your company can require at least one photo before a return is sent, in Settings → Stock.

Finding returns

Search the list by return, debit note, credit note, goods receipt or purchase order number. Returns also appear on their purchase order and goods receipt pages.
