Roles and permissions

Who can do what in the warehouse, and how to limit people to some warehouses.

Overview

Roles and permissions decide what each team member can see and do in the warehouse, and in which warehouses they can work.

Why use it

  • Give floor staff only the tasks they need.
  • Keep purchase prices and costs private.
  • Limit people to their own warehouse.

Built-in roles

Admins and Billing admins can do everything. The other built-in roles are:

  • Warehouse staff: receive, put away, pick, pack, count and check returns. No adjustments, purchase orders or costs.
  • Warehouse supervisor: everything warehouse staff do, plus adjustments and their approval, transfers, purchase orders, warehouses and bins. No costs.
  • Inventory manager: stock without the floor: adjustments, approvals, transfers, counts, planning and purchase orders. No picking or packing.
  • Accountant: reads stock, orders and returns; sees costs, stock value and the accounting export. Cannot change stock.
  • Operations: orders, returns and all stock and warehouse work except approvals, channel rules and costs.
  • Catalogue manager and Read only: can see stock but not change it.

Warehouse permissions

An admin can create the company's own roles, or add and remove single permissions for one person, in Settings → Team and Access. The warehouse permissions are:

  • Manage warehouses, bins and who works where.
  • Suppliers and purchase orders.
  • Receive goods, quality check and put away.
  • Pick, pack, manifests and dispatch.
  • Receive and grade returns; claims.
  • Transfer stock between warehouses.
  • Open and take cycle counts.
  • Approve adjustments, counts, requisitions and purchase orders.
  • See costs and purchase prices.

Limiting people to some warehouses

Open Settings → Stock → Warehouses and click People on a warehouse. A person limited to some warehouses sees and works only in those. Anyone who manages warehouses always sees all of them.
