Supplier ledger

What you owe each supplier, with invoices, debit notes, payments and TDS in one running balance.

Overview

The supplier ledger shows what you owe each supplier, built from their invoices, your debit notes and the payments you record, with a running balance.

Why use it

  • See every supplier's balance at a glance.
  • Record payments and TDS against invoices.
  • Send suppliers a statement.

Every supplier's balance

The Supplier ledger shows what you owe each supplier. It is built from the supplier invoices, debit notes and payments already in O2M, so there is nothing to enter twice.

Figure 13.1  Inbound → Supplier ledger

Each row shows the supplier's opening balance, what they invoiced, your debit notes, what you paid, the balance and the last activity. Cr means you owe the supplier; Dr means they owe you, for example an advance. Search by name or code, or show only suppliers With a balance.

A supplier's book

Click a supplier to open its book: every invoice (credit), debit note and payment (debit) by date, with the running balance.

Figure 13.2  A supplier's book, with invoices not fully paid and payments
  • The top shows the supplier, GSTIN, payment terms, balance, opening balance and any advance.
  • Invoices not fully paid lists each invoice with its debit notes, what was paid and what is still due.
  • Payments lists each payment and the invoices it paid.
  • Choose a Date Range to see the balance brought forward and the closing balance for a period.
  • Download the statement as PDF or CSV, or click E-mail statement to send it to the supplier.

Record a payment

Figure 13.3  Recording a payment to a supplier
  1. 1Open the supplier's book and click Record payment.
  2. 2Enter the date paid, the amount, the mode (bank transfer, UPI, cheque, cash, card or other) and the reference, such as the UTR or cheque number.
  3. 3If you withheld TDS, enter the amount and section.
  4. 4Choose Oldest invoices first, or Choose invoices to say which invoices it pays. Any amount left over is kept as an advance.
  5. 5Click Record payment.

A payment is never edited. To correct one, cancel it with a reason and record it again.

Opening balance

If you owed a supplier money before you started using O2M, click Opening balance and enter the amount, choosing whether you owe the supplier or the supplier owes you. Enter 0 to remove it.

Good to know  The supplier ledger shows purchase prices and payments, so it needs an inbound permission and the permission to see purchase prices.
